Receptionist / Clerical Assistant, Academic and Student Support Unit
Provide a high quality, customer focused reception service and take responsibility for dealing with enquiries from students, staff and visitors, in person, by email, fax and on the telephone.
Coordinate the QA procedures for examination papers (Autumn and Spring). Duties include:
producing blue forms
arranging subject group meetings
Liaising with staff in order to produce exam papers
revision of papers via external examiners
Formatting of exam papers
Assisting with the visits of external examiners
Arrange on-line examinations including timetabling, room booking and exam group allocation and informing the students/exams office
Liaise with all academic staff members in order to produce module information (weightings, class lists etc) onto the Departmental Assessment System (DAS) and input all examination/coursework marks for all modules
Manage the bar code scanning system by uploading information, troubleshooting problems, liaising and negotiating with academic staff regarding hand-in dates. Take in assignments/final project theses, organise submission lists for teaching staff. Member of the bar code user group.
Manage the use of "Turn-it-in" software within the Department to detect plagarism.
Manage the Departmental screens to relay timetables, exam information, seminar and tutorial groups, Engineering Application timetables, Careers Day infromation and maps of the department to students.
Assist with the exam paper feedback pilot.
Provide undergraduate timetabling assistance when required to support cover.
Provide secretarial support for Professor Costas Soutis, including:
Diary management
Making travel arrangements and arranging taxis/car hire.
Producing and distributing correspondence
Liaising with students and Universities nationally and worldwide
Making module teaching material available on MOLE as requested
Provide a key support function to the Design, Manufacture and Management group on an ad hoc basis, including:
Organising coach hire/flight tickets for events with external companies and arrange parking permits and lunches through internal contacts
Organising the printing of course notes in preparation for the Autumn/Spring terms with the University Print Service
Preparing name badges for events
Printing/scanning student references
Typing up research material and student assessment feedback
Minute Faculty Estates meetings for Dr Alma Hodzic which includes organising the meetings, preparing the agendas, chasing members for actions, minuting the meetings and circulating the minutes.
Raise purchase order requisitions at the request of academic and professional services staff.
Assist ASSU team leader with Mechanical and Aerospace Engineering Careers Day and departmental graduation day. Assist with Intro Week.
Assist with UCAS days, meeting and greeting potential students and their families and facilitating their visit to the Department and University.
Organise Departmental research seminars and other adhoc events, arrange audiovisual facilities and publicise events to staff and students via e-mail.
Qualified first aider for the Department of Mechanical Engineering.
