Administration for the UG admissions process from initial enquiry to the point of pre-registration of students
Enter details of initial enquires onto the Customer Relationship Management (CRM) system and maintain details of all contact with enquirers and applicants
Deal with e-mail, telephone, postal and personal enquiries from potential applicants regarding mechanical engineering programmes of study and visit days. This involves sending out literature, letters and providing responses to specific enquiries
Receive and manage UCAS home and overseas application forms, process on behalf of the Director of Admissions and Overseas Admissions Tutor, which includes copying forms, recording decisions (in agreement with admissions tutor for home applicants), researching information on qualifications, maintaining CRM data in relation to applicants and visit day visitors and maintaining departmental records, monitoring and recording non-standard offers on home and EU applicants
Maintain regular contact with the University Recruitment and Admissions Office
Organisation of visit days to the Department which includes production of invites to applicants, maintaining information on applicants and their visiting parents, coach hire, organisation of catering, room bookings, arranging car parking, expenses claim forms, organising rota schedules and liaising with academic staff and postgraduate tour guides
Recruit student tour guides, draw up rotas for UCAS days, confirming hours for payments
Create and manage an academic rota for UCAS days
Maintain admissions pages on Mechanical Engineering web site
Set up and maintain Mechanical Engineering Facebook, working closely with the Marketing officer
Attend the visit days to ensure smooth organisation and assist applicants and visitors with enquiries
Prepare and send letters and e-mails to applicants on behalf of the Director of Admissions, including newsletters for keeping in touch
Assist the Director of Admissions with the decision processing and admission of applicants and liaise with the University Recruitment and Admissions Office
Assist in the handover of pre-registration information on accepted applicants to the Undergraduate Student Support Officer in the Department to assist with the preparations for Intro Week
Assist the Marketing Officer with monitoring applications rates and trends and the provision of data on applications for departmental management
Organise staffing – (academic) for University general open days
Provide cover for the Postgraduate Admissions Officer on an ad hoc basis
Respond to immediate queries from staff and students at all levels
