Room Bookings

Description of Service

Central facility for reservations of teaching space and conference rooms.

Client Groups/Eligibility for Services

Staff, students, external clients.

Provider Responsibility

  1. To maintain details of all rooms available for booking, including capacity.
  2. To maintain a computerised system.
  3. To confirm all bookings either by email or telephone, and to place them on the room bookings web page.
  4. To maintain all bookings accurately and to users' deadlines.
  5. To confirm in writing and to send invoices for bookings made by external clients.

User Responsibility

  1. To provide accurate information.
  2. Student Societies to book 10 days prior to event.
  3. External clients to provide written request for booking.
  4. External clients have 14 days prior to event before 25% cancellation charge is made.
  5. External clients to pay invoice within 30 days.

Availability of Service

8.30am - 5.00pm Monday - Friday inclusive (excludes Bank Holidays, Christmas, New Year and Easter closedowns).

Occupancy of Central Teaching Rooms.
Number of spaces in Central Teaching Rooms.

Service Measures

80% of incoming telephone calls will receive a response within 20 seconds.
80% of incoming e-mails will receive a response within 48 hours.

Dependencies

All teaching departments, Estates, Audio Visual Service.

Feedback and Monitoring

Analysis of Frequency of Occupation from software.
Annual "snapshot" survey of actual occupancy.
Results of Annual Customer Surveys.

Benchmarking

Comparison with other Universities via HEFCE statistics.

Exclusions

Refreshments unless prior arrangements made.
Food/drink in lecture theatres.
Audio Visual for external clients.
