Records Management Service

Description of Service

Determination and provision of policy and service regarding records management.

Client Groups/Eligibility for Services

All Administrative and Academic departments.

Provider Responsibility

  1. To determine and publicise policy strategy for records management.
  2. To review information produced in, or received by, the University of Sheffield, irrespective of medium.
  3. To ensure records are organised and protected, particularly with regard to statutory legislation (e.g. Data Protection Act, Freedom of Information Act).
  4. To classify and index records with effective/efficient storage and retrieval mechanisms.
  5. To identify the need to retain or dispose of documents.
  6. To work towards providing a central records storage and retrieval function.
  7. To write reports and produce documentation for use in training and in supervision of staff.

User Responsibility

  1. To undergo appropriate training.
  2. To abide by policy as prescribed.
  3. To liaise with Service Provider in accordance with procedures laid down.

Availability of Service

During core service hours.

Service Statistics/Outputs

Record of all departments visited and surveyed.
Record of appraisal work on currently held records.
Record of holdings by department, series, type and date.

Service Measures

Enquiries to the Records Management Service will be acknowledged within 1 working day of receipt.
Appointments to visit departments will be made within 5 working days of acknowledgement of enquiry.

Dependencies

The granting of access to all records storage facilities.
Departments following Records Management policy.
