Octagon Centre

Description of Service

The provision of a prestigious venue complete with facilities and services to suit the particular needs of events taking place in the Octagon Centre. Co-ordination of events taking place elsewhere on campus. Hire of equipment and sale of gifts.

Client Groups/Eligibility for Services

University Members, University Departments, Students' Union, Students' Societies, External Organisations, General Public.

Provider Responsibility

  1. Prepare venue in the agreed format for the event in accordance with predetermined time scales.
  2. Co-ordinate for the event any services provided by other internal or external providers.
  3. Ensure the venue constitutes a safe environment for participants in the event.
  4. Ensure the organiser(s) is/are aware of any legislative requirement necessary for the legal conduct of the event, and holds appropriate insurance cover.
  5. Deliver and monitor services according to predetermined schedules, budgets and standards agreed with the client.
  6. Make easily accessible at pre-agreed times equipment for hire to University Departments and outside organisations, maintaining appropriate records.
  7. Maintain for retail sale stocks of suitable articles and mementos bearing the University name and/or crest. Ensuring University-wide awareness of the facility and monitoring quality.
  8. Raise relevant charges and settle debts incurred in accordance with University financial procedures.

User Responsibility

  1. Provide timely notice of service requirements in accordance with agreed deadlines.
  2. Comply with legislative requirements associated with the specific event and adhere to conditions of use specified by the University.
  3. Carry out only activities which are unlikely to jeopardise the good name or standing of the University.
  4. Settle any bills for the agreed provision of goods or services promptly.

Availability of Service

365 days per year (prior commitments permitting) for venue provision.
Normal University office hours for other provisions.

Annual percentage of days occupied for Octagon lettings.
Letting/Hiring revenue.
Sales profit.

Student Union Technical Services, other University services and external service providers.
Sheffield City Council Licensing Authorities.

Customer satisfaction questionnaires and annual analysis thereof.
Retail stock turnover statistics.

Benchmarking

Periodic analysis of provisions by comparable venues and suppliers of similar services.

Exclusions

Groups wishing to self-cater.
Organisations with undesirable activities or those with poor customer history.

Location of Service

Charges

Venue hire:(Rack Rate)£1400 plus VAT per day to External users. Discounts available for University departments, Students' Union and Union Societies.
Other services as quotation.
Display Boards £10 per board per day.
Tables £4.50 per hire.
Gifts as per published brochure price list.
