Scanning Solution
Overview
To provide a scanning solution that will integrate with Livelink, SAP nd other University systems, providing a means for various types of document to be scanned and stored as an image file.
- At its simplest, scanning a document simply means putting the paper through a scanner (using appropriate software) and storing it as an image file for later reference – eg in the Livelink document management system.
- Effective retrieval of the file requires careful use of indexing information when the item is scanned, including appropriate setup of the storage system and enabling the scanning software to automatically file items in the correct place.
- The most obvious benefits from a scanning solution arise from its integration with existing systems, such as invoice processing. This requires relevant modules in SAP and possibly Livelink and involves more cost and systems work.
- It is expected that the project will result in central scanning software and relevant systems enhancements, particularly in SAP and possibly Livelink. Scanner hardware will be recommended but should be purchased by the departments who will use them.

We already have some of the required software. In late 2009 it should be clear whether tendering for other components is required.
Depending on that, either tendering or implementation should begin early in 2010, with the main elements of a solution in place by summer 2010. |
