Guidance on Use of Instant Messaging Programmes

Academic Work

Users are reminded that PCs in the University´s Student Computing Rooms are provided to facilitate students in undertaking academic work. At busy times students using such rooms for recreational purposes, such as instant messaging, should make way for students wishing to do academic work.

Security

Some of the features of instant messaging do pose potential security risks to a user's PC. In particular instant messaging has been used to spread viruses. The virus sends users a message or email with texts like: "omg this is funny!" or "A special e-card has been sent you" which include a link to an Internet address. The messages will typically appear to come from a user who is known to the recipient. If the recipient clicks on the link, files containing the viruses will be downloaded and installed on the computer. These then send new messages to the contacts in the user's buddy list and other address books. The virus also attempts to install various pieces of malware such a viruses and ad-ware on the affected computers. Users are strongly advised not to open links in suspicious instant messages even if they appear to come from someone you know. If you are suspicious contact the sender to confirm they sent it.

The file-sharing functionality within instant messaging programs can be used to pass files infected with viruses between machines. Users are advised to exercise extreme caution when opening files shared by instant messengers if they have the following extensions: vbs, vbe, wsh, wsf, js, jse, exe, com, bat.

If using a PC which is not running the Managed Desktop users are advised to ensure their PC is up to date with Windows security patches and running an up to date virus checker such as McAfee. Managed Desktop users will have the security of their PCs automatically managed centrally by CiCS.

Harassment

Careful consideration should be given to the content of any instant messages. Messages that are unacceptable to the recipient and which create an intimidating, hostile or offensive environment may constitute harassment under the University's guidelines.
