What you need to do

Once a resource is registered, the resource manager has to sign in as the resource in order to change the password, and set access rights.

This can only be done in the client version. It cannot be done using the web version. See the downloads box on the right to download the client.

There are two options available for setting access rights:

  1. Only Designates of the resource, chosen by you, can book the resource.
    You can give other specific people rights to view the resource, but not to book it. All other myCalendar users can see the resource exists but have no booking or viewing rights.

  2. Designates and other users, chosen by you, can book the resource.
    Specific people are able to view and book the resource. All other myCalendar users can see the resource exists but have no booking or viewing rights.

How to do it

Step One - Signing in as the resource

  1. At the initial myCalendar sign-in screen, click the Magnifying Glass icon alongside User name to get the Directory Search window.

  2. Click the Resources tab, then the Search button.

  3. Scroll down the list of resources to locate the one you require. Click on it and then click the OK button.

  4. The resource name is now entered in the User name box. Enter the resource password you have been given and click Sign-in as usual.

Step Two - Changing the password

  1. Select Change Password from the Options menu.

  2. Follow the on-screen instructions.

Step Three - Setting access rights

  1. From the Options menu, click on Tools, then Access Rights..., and then click the Viewing tab.

    Set the Default viewing to be No viewing rights.

  2. Add the specific people you want to be able to see the resource by listing them (entry via the name box and green tick button).

    Set their viewing as having the usual viewing rights, ie Normal Entries as View Entry, and Confidential and Personal Entries as View times only.

  3. To allow others to create bookings, from Access Rights... click the Scheduling tab.

    Add people to the list using the name entry box and green tick button.

    Then for each listed person, check the Can invite you to Entries option.
