How do I change my password?

As your myCalendar password is synchronised with passwords for other services, you must use the standard change password facility on the Computer User Account Management web pages.
If you are using the Window Client version of Oracle Calendar, you must disable the off-line agenda before changing your password. Details of how to do this are provided in Disabling Offline Agenda.
Please Note: Using the facility to change/create a new password needed to access myCalendar will also change your Network account password.

How do I mark holidays?

Create a meeting with yourself as the only attendee.
1. In the General tab enter the Title as 'Annual Leave'
2. Set the Start time to 09:00 and the Duration to 08h:00
3. In the Repeating tab set the Frequency/Repeat to 'Daily'
4. Set the Start and Until dates
Your holiday should now be entered into the calendar.

Why can't I see a user's full name and department?

The name format is modified in preferences.
Windows version
1. From the Tools menu click Options..., then General/Formatting.
2. Set the Name Format to Smith, John C. and tick the OU1 box.
3. Click OK
Web version
1. Click the Preferences icon on the tool bar.
2. In the General tab set the Name Format to 'Smith, John C'.
3. Tick the OU1 box.
4. Click OK
A person's department is stored in OU1 (Organisational Unit) as their three letter departmental code. A list of the codes can be found in the University hierarchy list.

How can I tell that people are free for a meeting?

For a single person you can open their agenda.
For more than one person, open a group agenda.
1. On the button bar click the Open Group Agenda icon
2. Type the surname/family name or click the magnify glass to search for individuals/groups
3. Click OK when you have your list of people.

What is a designate?

A designate is someone who has been given rights to modify another person's agenda.
For example, a secretary or PA will have modify rights to their boss's agenda. The secretary can add, modify and delete entries in their boss's agenda. The boss can also modify and delete the entries that the secretary has created.

I'm a designate but I cannot modify entries in my boss's agenda?

You must open your boss's agenda as a designate
Windows version
From the File menu click Open as Designate... then click Agenda
Web version
If the user is not in your list of favorites:
1. Click the View Agendas icon on the Calendar toolbar.
2. Enter the appropriate name in the edit box and click Find.
3. Select the appropriate name from the search results list box.
4. Click Add to favorites with designate rights.
5. In the Favorites section make sure the appropriate name is selected and click Act as designate. The Agenda opens.
If the user, resource or Event calendar is already in your list of favorites:
1. Select the appropriate user from the favorites drop-down list.
2. Click Go. The Agenda opens.

How does my PDA identify itself for synchronisation?

When you synchronise your myCalendar data with your PDA, the software on the PDA needs to identify itself to myCalendar. The identification you need is your user ID - which is the same username required for many purposes in the University.

How do I search for people by department name?

This feature is only available in the Windows and Mac versions.
1. Select Tools and then Search Directory ... or use the Magnifing Glass icon to bring up the Directory Search pop-up window.
2. In the field Org. Unit 1 enter the departmental three letter code. Departmental codes can be found from the University hierarchy list.
3. Click Search.

Why am I prompted for an Off-line password?

When you sign-in to myCalendar a local copy (off-line copy) of your agenda is made to your PC. To access this off-line agenda you use the same password as you would to sign-in to the myCalendar server.
The Services password used by myCalendar is stored in an LDAP directory. This password will increasingly be used to gain access to other applications, WebCT, Webmail etc.
If this password is changed by any other method than using the Oracle Calendar software Windows version, i.e. through the Computer User Account Management web pages, then the Services password becomes different from the off-line agenda password stored on your PC.
When you next sign-in to myCalendar using your Services password you will be prompted for your off-line password as well since these passwords are now different.
Solution
If you don't require the off-line agenda facility and you don't use the address book then the best option is to disable the off-line agenda facility on your PC.

How do I disable the Off-line agenda?

1. Click Cancel on the pop-up window.
2. Exit the Oracle Calendar software.
3. Use the Find/Search facility on your computer to search for the file unison.ini.
4. Open unison.ini by double clicking the icon. On a PC this should launch Notepad.
5. Scroll down the document page to the end of the section headed [GENPREFS]
6. Add the line offlineab=FALSE
7. Close the file and save the changes when prompted.
When you next sign-in to myCalendar you will not be prompted for your off-line password.

Why am I asked for a new location for my Off-line Agenda at sign-in?

This occurs with the Windows version of myCalendar when someone else has signed in to myCalendar on this computer before you. A message appears saying "The current Off-line Agenda belongs to someone else. Please select another location for your Off-line Agenda"
There are two solutions
Select a new location.
This gets you out of the immediate problem but means that when someone else signs-in they will have to repeat this process.
1. Click on Browse
2. Select or Create a Folder
3. Click Open
4. Click Save
5. Click OK
Disable the Off-line agenda facility
This is a permanent fix but disabling the off-line agenda also removes the address book facility. If you don't require the address book then CiCS suggest you disable the off-line agenda. If you have a portable PC then you may use the Off-line agenda facility in which case you won't want to disable it.

I can't see my postgraduate's / supervisor's agenda?

The accounts for Postgraduate Research Students and Staff are located in different databases, and therefore, it is not possible for Staff to view the agendas of Postgraduate Research students, and Postgraduate Research students to view the agendas of Staff.
