Exporting Agenda Data
Reasons for exporting data
To ensure that myCalendar is working at optimal efficiency the amount of historical stored data will be restricted to the last 3 academic years.
In September each year all agenda entries over 3 years old will be purged. If you are a member of staff and wish to keep a personal record of your old agenda entries you will need to export them to a file using the myCalendar desktop client (Win/Mac).
Use client not web version
You need to use the client to export data. This function is not available on the web version. If you don´t already use the desktop client, you will need to download it from the link at the top of this page, or use a Managed PC.
How to export data
- Open and log into myCalendar.
- Click on the File menu and select Export Data.
- From the Export Utility list select Comma-delimited text file for Agendas. Click Continue.
If a box showing No matching names appears, click OK.
- In the next window (shown here on the right) you will need to set the following options:
- Period: allows you to choose the date range you wish to export from your calendar.
- People/Resources: allows you to choose your agenda to export.
Enter your surname in the search box, click on the Tick icon. Select your name from the search list, then click OK. - File Name: allows you to choose the name and location of the files to which you are exporting your agenda.
You are advised to save your file with the 3 letter extension .csv in order that it will be immediately recognised and opened by the Excel spreadsheet program.
- Having selected the options above, click OK to export the agenda file. The exported file can now be opened into an Excel spreadsheet.
