You can view and send messages for the new email service in Mac Mail.
Synchronise your Passwords
First you will need to synchronise your passwords
- Log into the Account Management System using the link below.
- Click option 4 to synchronise your passwords.
- On the next screen click the 'Synchronise' button.
- Click the 'Logout' button. Your passwords will be synchronised in a few minutes.

Activate IMAP
Next you will need to activate IMAP in the new email service:
- Click Settings in the top-right row.
- Click the tab labelled Forwarding and POP/IMAP.
- Click the Enable IMAP option button.
- Click Save Changes.
Start Mac Mail
Start Mac Mail. If you have no existing email account, the account wizard should start automatically. To start the account wizard manually, click the File menu and select Add Account.
- When the first screen of the wizard loads click Continue.
- Change the Account type to IMAP, then type your email address in Email address field. Click Continue.
- Specify imap.gmail.com in the Incoming Mail Server field, then supply your username followed by @sheffield.ac.uk and your password in the appropriate fields. Click Continue
- When asked about Incoming Mail Security, ensure that the Use Secure Socket Layer checkbox is ticked. Click Continue.
- Specify mailhost.shef.ac.uk in the Outgoing Mail Server field. Ensure that the Use Authentication checkbox is ticked, and specify your username without the @sheffield.ac.uk and your password. Click Continue.
- When asked about Outgoing Mail Security, ensure that the Use Secure Socket Layer checkbox is ticked. Click Continue.
- You will see a summary screen listing all of your settings. If any of your settings are wrong you can click the Go Back button to change things. When you are satisfied, click Continue.
- Click the Done button in the final dialog box. Your IMAP email account will be set up, and you can read and send messages.
Configure Mac Mail
Next you need to set the correct security settings.
- Click Mail menu and select Preferences.
- Click the Accounts tab and select your account in the left column.
- In the menu labelled Outgoing Mail Server SMTP select Edit SMTP server.
- Click the Advanced tab, specify a custom port of 587 then click the Ok button.
- Click the Advanced tab in the remaining Mail Preferences dialogue box.
- Specify the Port as 993 then close the dialogue box.
